2. How Sunshine Works

Sunshine provides systems and infrastructure for independent academies to deliver training. Students may register directly or may be registered by the academy delivering their training. Academies use Sunshine for theory resources, student tools, certificate records, accreditation support and related services.

3. Information We Collect

Students

  • name, email address, phone number and account login details;
  • postal address where needed for certificate delivery;
  • academy, course, booking, attendance, quiz, theory, certificate and CPD records;
  • support messages, preferences and account activity;
  • payment and invoice references where relevant. Card details are handled by payment providers such as Stripe and are not stored by Sunshine.

Academies And Educators

  • academy owner name, business name, address, email, phone and login details;
  • academy logo, profile information, website links, booking links and social media links;
  • insurance, accreditation, course, certificate, academy code and compliance records;
  • Stripe customer, subscription, invoice and payment status references;
  • support messages, application forms, onboarding forms and admin notes.

Website Users

  • cookie preferences, IP address, browser and device information;
  • pages visited, forms submitted and security logs;
  • information you send through contact, quiz, checkout or enrolment forms.

4. Where Information Comes From

We may receive information:

  • directly from you;
  • from an academy registering a student or managing a course;
  • from Stripe or another payment provider;
  • from our website forms, student portal, academy portal and CertiChecker tools;
  • from support messages, email communication or admin activity.

  • the public, where academy business details or accreditation status are displayed in directory or verification areas.

7. Academy Responsibilities

Independent academies are responsible for the student information they collect and enter into Sunshine. Academies must tell students how their data will be used and must have a lawful basis for providing student details to Sunshine.

8. Public Academy Directory And Accreditation Status

We may display academy business names, locations, profile images, logos, course categories, public contact details, social links and accreditation status. This helps students and third parties understand whether an academy is active or recognised within Sunshine systems.

9. How Long We Keep Information

We keep information only as long as needed for the reason it was collected. Some records may be kept for longer where needed for certificate verification, accreditation history, insurance evidence, legal claims, tax, accounting, fraud prevention or audit.

Financial and invoice records are normally kept for at least six years. Certificate and accreditation records may be kept for longer because students and academies may need to verify training after a course has finished.

10. International Transfers

Some service providers may process information outside the UK. Where this happens, we expect appropriate safeguards to be used, such as UK-approved transfer mechanisms or equivalent protections.

11. Your Rights

Depending on the situation, you may have the right to:

  • access your personal information;
  • correct inaccurate information;
  • ask for information to be deleted;
  • restrict or object to some processing;
